OCR Router is a program that uses Optical Character Recognition on facsimiles and uses the text if finds to distribute the fax. OCR Router will route the fax to a printer, file folder or an eMail address or any combination of them based on a set of rules.

The program starts by saving all incoming faxes in an archive folder as either a tiff image or a PDF. Once saved the file is OCR'd using Microsoft Office Document Imaging (MODI). This process will captures the typed text (not handwritten).

Once the text is acquired it is read and matched to a set of rules. The rules allow the facsimile to be saved in a particular file folder, sent to a specific printer, or emailed as an attachment or a link.

The user can use as many rules as necessary to properly distribute the facsimile. For instance the facsimile could be printed on two printers, sent to three email addresses and placed in a specific folder.

This makes it ideal for when facsimiles need to be distributed among many people. For instance in a law firm it could be placed in a file folder for a particular case, each legal assistant could receive a link to it and at the same time it could be printed on the lead attorney’s printer.

Despeckle is the process of removing speckles from images (especially bitmaps created using a scanner). Speckles are artifacts which are extra pixels (or collections of extra pixels) that can occur in scanned images because of imperfections in the scanner hardware, or because of dust or dirt being present on the camera, scanning surface or even the document being scanned.


The document structure analysis and character recognition are usually done in several phases:
scanning
thresholding
skew detection and correction
despeckle or speckle removal
line removal
border removal
detection of preprinted elements (like boxes)
page orientation detection and correction
layout analysis
classification
character recognition

Each step must be completed well enough for the performance of the sequence and result to be successful. Steps that follow the despeckle are inefficient if the correction fails.

Tiff to Text is designed to perform Optical Character Recognition (OCR) in a batch process. The program utilizes the OCR engine from Nuance (Owners of OMNI Page - formally ScanSoft) that is included with Microsoft Office Document Imaging (MODI). Without question this OCR engine is one of the five best in the World, and is available in different languages. If English is not the language to be used the setup will prompt the user for the location of MODI.

With Tiff to Text the user has the option of processing all of the tif images in a file folder as well as all subfolders that contain tif images. The output will be a matching file folder structure with either the tif image along with a matching text file created from the OCR or just the text file.

Tiff to Text is easy to setup as the user only has to enter the input folder and output folder along with some simple choices
Required Setup information:
• Include Sub Directories – this will OCR all the tif images in the Sub Directories of the root
• Duplicate Folder Structure – this makes a matching output file folder hierarchy of the OCR’d images, if not selected all output files will be placed in the output root.
• Display Status – allows the user to see what file is being OCR’d
• Output Text File Only – just creates a matching text file from the OCR contents
• Delete Original Tiff image – Deletes the file that was processed
Advanced Options:
• Standard Output – Normal OCR text file
• Upper Case – All of the OCR text is converted to Upper Case
• Lower Case - All of the OCR text is converted to Lower Case
• Strict ASCII – Only outputs the OCR text that contains character codes between 0 – 127

File by OCR automatically names files and places them in a file folder structure based on the document's OCR text contents. It can extract text from a searchable PDF and name and file it, or it can extract the OCR text and build a csv file. File by OCR uses Optical Character Recognition on the entire document and then parses the data contents, allowing the user to easily capture and extract data from multi-page documents and documents of various lengths such as sales receipts. 

All processing of documents is done in a batch process after scanning, allowing a user to move on to something else while the OCR process is being carried out.

File by OCR has the capability to monitor an unlimited number of file folders that contain different document types to be processed, making it ideal for use with a copier that has a scan to file option. The program also supports Twain Scanners and has an easy to use interface that correctly places the file in the correct folder for processing. 

When setting the program up the user should take into consideration that OCR technology is not 100 percent accurate and capture enough data so that they can be assured that if the document is not found on the first search it can be found on a subsequent search, or review the files after they have been processed for any errors in the data capture. If possible the user should consider formatting their documents so that mission critical data is placed on the document in large characters using an OCR font.
